Job Title: Office Administrator: Qualifications and Accreditation

Job Purpose and Profile:
To provide administrative support to the business unit, ensuring efficient operations and key support to CETA’s overall strategy.
Responsibilities:
- Manage and coordinate administrative tasks and clerical support for departments.
- Provide smooth communication and interaction between departments, management, and stakeholders.
- Coordinate office activities ensuring compliance with CETA policies.
- Maintain office supplies, handle enquiries, and process travel documents.
- Maintain filing systems and ensure confidentiality of departmental information.
- Assist with secretarial tasks, diary management, correspondence, and meeting coordination.
- Schedule and coordinate Committee meetings, compile reports, and handle logistics for events.
- Support with document processing, report generation, and audits.
- Ensure compliance with health and safety regulations.
- Supervise and mentor interns.
- Assist with budget management and adherence to fraud prevention protocols.
- Ensure all records and accreditation processes are maintained according to SOPs.
- Support the accreditation of skills development providers and handle special project documentation.
- Manage certification processes for NQF and pre-NQF projects.
- Identify areas for operational improvement and ensure timely execution of special projects.
Requirements:
Desired Skills, Experience, and Competencies:
- Matric/Grade 12
- Secretarial/Office administration qualification or equivalent (advantageous)
- Minimum 3 years of secretarial or administration experience
- Proficient in office management procedures, with familiarity in basic accounting
- Intermediate Excel and PowerPoint skills
- Excellent communication, organizational, and leadership skills
- Flexibility in working hours and willingness to work overtime if required
- Key attributes include punctuality, ethical conduct, emotional intelligence, analytical mindset, and problem-solving abilities.
Remuneration and Benefits:
A competitive, negotiable package will be offered, aligned with the CETA Remuneration Policy and salary scales. The appointment is linked to CETA’s license and subject to performance management.
