Role and Responsibilities:
The Logistics Coordinator will manage export administrative duties and support the team in alignment with company policies, ensuring exceptional customer service.

Key Duties:

  • Receive and enter orders in FLOW (in-house system); update transhipment and arrival statuses.
  • Coordinate timely shipping arrangements per customer requests, including correct mode and equipment type.
  • Handle full sets of shipping documents (BLs, invoices, packing lists, COO) and ensure accuracy for clearance agents and customers.
  • Manage import/export customs clearance and delivery timelines.
  • Work with Sales and export offices to provide timely quotations to customers.
  • Ensure vendor and customer invoices align with quotations; manage costs and timely bookings in financial records.
  • Maintain organized shipping files with all relevant documents and correspondence.
  • Plan the optimal shipment route considering cost, transit time, and security, and ensure compliance with customs requirements and international regulations.
  • Collaborate with customers, export offices, and third parties to meet deadlines and provide excellent service.
  • Stay updated on legislation, carrier route changes, and political factors affecting freight movement.
  • Review shipping documents to ensure data consistency across all records.

System Operations:

  • Maintain and update FLOW with high-quality data, ensuring all details are accurate and timely.
  • Manage invoicing within a 5-day period and maintain file balance sheets.
  • Ensure accurate, accessible, and well-maintained shipping files and documents.

Customer Service:

  • Provide exceptional customer service with professionalism and a friendly approach.
  • Understand customer needs and develop a deeper engagement through active communication.
  • Monitor customer KPIs to drive service improvements.
  • Maintain high product knowledge and ensure operational accuracy.

System Proficiency:

  • Proficient in FLOW, Axis, Salesforce, MS Office.
  • May perform additional tasks as required by management.

Qualifications:

  • Tertiary qualification in a related discipline or Freight Forwarding & Customs Compliance.
  • Department of Agriculture (DALRRD) knowledge preferred.
  • 3+ years of relevant experience in freight forwarding and customs clearing.
  • Expertise in the alcoholic beverage industry and shipping paperwork for import/export/air/road shipments.
  • Knowledge of International Freight Forwarding, FCL/LCL, and INCOTERMS 2010© (2020).
