Reporting Line:
This position reports directly to the Department Manager.
Key Responsibilities:
Office Support:
- Maintain and update vehicle trip-sheets regularly, ensuring accurate recording of mileage, fuel consumption, and maintenance activities.
- Coordinate vehicle repairs, servicing, and insurance renewals, ensuring all fuel data is recorded and anomalies are reported back to operations.
- Collaborate with the finance department to track and manage fleet-related expenses, ensuring precise financial records.
- Oversee the timely processing of insurance claims, ensuring compliance and resolution within stipulated time frames.
- Ensure accurate record-keeping and reporting of time and attendance data.
Office Management:
- Apply 5S principles to maintain a clean, safe, and well-organized working environment.
- Oversee the maintenance and repair of office equipment and furniture to ensure a functional work environment.
- Monitor and replenish office supplies, ensuring operational efficiency.
- Coordinate facility repairs and maintenance to ensure the continuous functionality of office spaces.
- Manage office access control systems, maintaining accurate records for security and accountability.
- Oversee employee uniform orders and coordinate quality control of PPE to ensure safety compliance.
Vendor Management:
- Evaluate vendor performance consistently to ensure adherence to service levels and quality standards.
- Address vendor-related issues promptly to maintain smooth operations and positive relationships.
- Process vendor payments and manage invoices on the system, ensuring timely and accurate financial transactions.
- Generate vendor Purchase Orders (POs) and ensure no invoices are carried over to the next month.
- Process all monthly accruals accurately, including those related to staff, rentals, and fuel expenses.
Required Attributes:
- Detailed understanding of warehouse management systems.
- Strong problem-solving skills.
- Excellent verbal and written communication skills in a demanding, customer-focused environment.
- Strong organizational and business administration skills in line with modern best practices.
- Ability to work productively, efficiently, and effectively under pressure, with attention to detail and quality.
- Willingness to learn, improve, and adapt.
- A team player with a strong work ethic, flexibility, and a positive attitude.
- Ability to work well in a multi-cultural team and train staff effectively.
Qualifications and Experience:
- Matric or equivalent qualification.
- Degree/Diploma in Supply Chain Management, Logistics, Business Administration, or Finance.
- 3 years of experience in logistics, supply chain, warehouse, or a financial institution.
- Experience in people management.
